Invite team members and manage their roles

Bringing the right people into your Dubly.AI organization is how you scale from solo work to a real team. This article covers how invites work, what each role can do, and how to manage pending invites and existing members.


Is team management available on your plan?

Team invites are available on paid plans. Open the sidebar — if you see Members, you're set. If you don't, team features aren't enabled on your current plan. Contact hello@dubly.ai to upgrade.


Who can invite whom?

Each organization has exactly one Owner — ownership is transferred, not shared. You cannot invite a second Owner.

  • Owner can invite Admins, Members, and Reviewers.

  • Admin can invite Members and Reviewers.

  • Member cannot invite anyone.

A Reviewer only ever sees the language versions you later assign to them for review — see The Reviewer role.


How to send an invite

  1. Open Members from the sidebar.

  2. Click Invite Member.

  3. Enter one or more email addresses — comma-separated for bulk invites.

  4. Pick a role from the dropdown.

  5. Click Send Invites.

An invitation email goes out with a secure link that expires after 7 days.

Rule of thumb: give the lowest role that still lets the person do their job. You can change it later. For someone who only needs to review specific translations, use a Reviewer rather than a workspace-wide Member.


What the invited person sees

When your teammate opens the email and clicks the link, one of three things happens:

  • No Dubly.AI account yet — a signup form appears with the email pre-filled. They set a name and password, and the invite is accepted automatically.

  • Already has an account with that email — a confirmation dialog shows the organization name and their role. One click and they're in.

  • Logged in with a different email — they'll see an error. They need to sign out and open the invite link from the inbox of the invited email address.


Managing pending invites

Pending invites are listed separately from active members on the Members page. For each one you can:

  • Resend — generates a new link and sends a fresh email. Useful if the first one expired or got lost.

  • Revoke — cancels the invite immediately. The link stops working.

You can select multiple invites and resend or revoke them in bulk.


Changing roles and removing members

From the Members page, open the action menu next to a member:

  • Change role — Owners can change any non-Owner role. Admins can only change Members and Reviewers.

  • Remove — revokes access immediately. Owners can remove any non-Owner; Admins can only remove Members and Reviewers.

The Owner's role cannot be changed from the UI, and the Owner cannot be removed.

Reviewers are managed here like any other role — but a Reviewer who still has a review in progress can't be removed or demoted until those reviews are reassigned or completed. See The Reviewer role.


Leaving an organization

If you want to step out of an organization:

  • As an Admin or Member: ask an Owner or Admin to remove you from the Members page.

  • As the Owner: you can't leave on your own — you'd leave the organization without an Owner. Contact hello@dubly.ai and we'll either transfer ownership to someone you designate or close the organization with you.
